The Role: Marketing and Communications Coordinator
Are you into art, creativity, storytelling? Ready for a new challenge with a fun, hard-working team? We’re looking for an energetic Marketing and Communications Coordinator with arts experience and a love for talking about amazing art to join our marketing and communications team. In this role you will have an opportunity to directly impact the success of the 2023 marketing strategy and contribute to the brand positioning of the company. We’re a small and scrappy team that lives at the intersection of traditional and digital marketing. You’ll have the opportunity to work on a variety of executions and contribute your expertise to a collaborative team. You’ll support the Marketing and Communications Manager in the advertising roll out, collaborate on PR planning, and execute it in a variety of creative ways. You should be comfortable with arts marketing and passionate about building the Luminato brand.
What You’ll Do:
- Work closely with the Marketing & Communications Manager and Graphic Designer to ensure timely and effective creation of festival collateral
- Facilitate approvals as needed and ensure that all materials are vetted and proofed before passing them to the Marketing & Communications Manager and/or Senior Director of Marketing & Communications for final review.
- Be part of a team who reviews all outgoing communications to ensure accuracy, clarity and consistency with brand-language and company values across all departments.
- Oversee the production of the organization’s marketing materials, ensuring accuracy and on-time delivery. Follow work-back schedules, facilitate edits and help to gain final approvals.
- Promote, develop and maintain positive, collaborative relations with external partners, vendors, and distributors.
- Be alert to the possibility of reaching communities beyond the original target audiences, and developing cost-efficient approaches to reach and engage them.
- Recognizing Luminato’s program will always be on a journey of evolutionary development, continually look ahead to the possibility of new audience relationships and devise ways to realize them.
- Provide daily administrative support to the team (indirect) and the Marketing & Communications Manager (direct).
Email Marketing and Content Creation
- Plan, create and send emails on time using Luminate, before, during, and after the festival.
- Curate and write marketing copy as needed, including, but not limited to email, direct mail (magazines, mailers, postcards), advertising (print, online, radio).
- Review all outgoing communications to ensure accuracy, clarity and consistency with brand-language across all departments.
- Ensure that all material is vetted and proofed before passing it to the Marketing & Communications Manager and/or Sr. Director of Marketing & Communications for final review.
Partnerships and Cross-Promotions
- Contact current and prospective partners and sponsors to explain Luminato’s goals and negotiate mutually-beneficial partnership opportunities. Document communications with partners and prepare reports at the end of the festival.
- Coordinate the distribution and delivery of assets and materials to arts organizations, venues, partners, tourism bodies, and government partners.
Project Management and Material Production
- Support the production of the organization’s marketing materials, ensuring accuracy and on-time delivery. Create work-back schedules, assign projects (where applicable), oversee event briefs, facilitate edits and gain asset approvals.
- Work with internal and external stakeholders to ensure deadlines are met.
- Ensure the proper implementation of the company’s brand activities, both internally and externally, including positioning, messaging, branding and guidelines.
Brand Identity
- Help to manage the brand assets and company’s style guide.

What You Must Have:
- Strong problem-solver
- Initiative to come up with creative ideas that continually improve Luminato’s brand image
- Outstanding communication skills, both written and oral
- Excellent project management skills and attention to detail
- Flexibility to work collaboratively with quick deadlines in a busy, team and company environment
- 1 to 2 years experience working in Marketing and/or Communications
- Proficiency in MS Office
- Enthusiasm about or experience in not-for-profit and arts industry
- 6 month – 1 year experience in managing vendor/agency partnerships
- Post-secondary education or equivalent experience in Marketing or a related field
It Would Be Nice If You Had:
- Experience working with marketing CRMs, email marketing software, and project management software
