The Role: Volunteer Coordinator

We are looking for a detail-oriented people person with strong computer skills and creative flair to join our Volunteer Office team. Reporting to the Volunteer Manager, you will support all aspects of the planning, implementation, and management of Luminato’s Volunteer Program leading up to and during our annual festival in June. This entails a wide variety of responsibilities including, but not limited to, creating and coordinating engaging events and activities for the volunteers (virtual and in-person), developing training materials, maintaining the volunteer database, tracking new volunteer information, coordinating volunteer shifts and schedules, and managing volunteers during the festival. This is a seasonal role starting in January 2022 with a salary range of $45,000 – $50,000 per annum based on skills and experience, prorated.

What You’ll Do:

  • Research new methods/events/activities for volunteer engagement prior to and after the festival and assist with the coordination and execution of these events and activities, including the post-festival volunteer appreciation event.
  • Research and identify volunteer recruitment opportunities (e.g. job fairs, volunteer fairs, connecting with similar organizations).
  • Source items for the Volunteer Package.
  • Create training documents and presentations; facilitate training sessions.
  • Assist with processing and approving Volunteer Request Forms and Venue Information Sheets from internal functional areas and production teams/producers.
  • Assist with maintaining the volunteer database: keeping volunteer records up-to-date, creating shifts, uploading training materials, creating reports, and troubleshooting any issues.
  • Assist with publishing The Lumineer, our monthly volunteer newsletter, and a daily version during the festival.
  • During the festival, ensure that volunteers receive hands-on supervision and be available to lead conflict resolution for visitors, staff and volunteers.
  • Other related duties as required to meet the ongoing needs of the organization and the Volunteer Program.

What You’ll Need:

  • Post-secondary degree or diploma, or work experience working with volunteers for at least 1 – 2 years.
  • Excellent written and verbal communication and interpersonal skills, with the ability to effectively manage relationships with a broad range of internal and external stakeholders.
  • Excellent organizational and time management skills, with the ability to prioritize workloads, work independently, and deal calmly with several projects simultaneously and under pressure.
  • Ability to problem-solve and resolve conflicts with a positive and professional attitude.
  • Proven ability to work on own initiative and as a team member.
  • Proficiency in Microsoft Office & Teams; experience with CRM or volunteer management software (e.g. Better Impact, Volgistics, Raiser’s Edge, Luminate), as well as Adobe Creative Cloud (asset), and Canva (asset).
  • Comfortable giving presentations and with video conferencing software (e.g. Zoom).
  • Previous festival or events experience an asset.
  • Interest and participation in arts and the arts community as asset.
  • Available to work evenings and weekends to facilitate volunteer training/orientation sessions and events when required.
  • Available to work all days of the 2022 Festival (June 9 – 19), including weekends.
