Communications & Marketing Coordinator

Position Summary

This role provides administrative and direct support to the VP Communications, Marketing & External Relations overall, and assists the Marketing and Communications Managers on a project by project basis. Acting as a project coordinator for collateral production, artistic and community partnerships, and media relations support.

Roles and Responsibilities

  • Provides daily administrative support to the VP Communications, Marketing and External Relations including the scheduling of team and external meetings and providing associated support
  • Assists in creation of the master marketing and communications critical path for the 2020 festival and manages various production/printing timelines
  • Coordinates the production of the organization’s marketing materials including but not limited to direct mail, online copy/updates, house programs, signage, e-newsletters and ancillary marketing materials; ensuring accuracy and on-time delivery 
  • Creates and follows work-back schedules, facilitate edits and helps to gain final internal and external approvals, ensuring that all materials are vetted and proofed and adhere to brand guidelines before passing it to the Marketing Manager and/or Communications Manager for final review
  • Maintains awareness about new opportunities and ways to reach communities beyond current target audiences and helps to develop cost-efficient outreach and engagement strategies
  • Continuously monitors best practices of our competitors (local, national and international) and others in the industry, and beyond our industry to give insight on progressive, best-in-class communication and marketing strategies in a cost-effective and timely manner
  • Promotes, develops and maintains positive, collaborative relations with external partners, vendors, and distributors
  • Represents the organization and its values at various community and/or business meetings to promote the organization


  • Curates and writes marketing copy as needed, including, but not limited to online (web, email, social), direct mail (magazines, mailers, postcards;); advertising (print, online, radio)
  • Reviews all outgoing communications to ensure accuracy, clarity and consistency with brand-language across all departments.
  • Supports the development and maintenance of the organization’s online communications

Project Coordination, Design and Collateral Production

  • Leads on the production of the organization’s marketing materials, ensuring accuracy and on-time delivery. Creates work-back schedules, assign projects (where applicable), oversees event briefs, facilitates edits and gains asset approvals
  • Works with internal and external stakeholders (including suppliers, producers and artists) to ensure deadlines are met
  • Sources print quotes and manage POs and invoices for Marketing, Communications and External Relations department
  • Adheres to the company’s brand standards to ensure both internally and externally, all materials adhere to brand positioning, messaging, branding and guidelines
  • Assists Graphic Designer on ongoing projects that are not creative or conceptual in nature
  • Assists with scheduling of festival photographer in lead up and during festival


  • Assists the Marketing Manager by identifying, researching and compiling data on prospective partners and sponsors that align with Luminato’s programming
  • Coordinates the distribution and delivery of assets and materials to arts organizations, venues, partners, tourism bodies and the City of Toronto

  • 2 – 3 years of marketing, communications and project coordination experience (non-profit/culture/arts industry professional experience a strong asset)
  • Experience using content management systems, email marketing programs and customer relationship management tools (basic HTML skills and basic image editing skills an asset)
  • Proficiency in MS Office
  • Enthusiasm about or experience in not-for-profit and arts industry
  • Completion of a relevant post-secondary certificate, diploma or degree program in journalism, communications, marketing, business administration or a related field
Working Conditions/Physical Demands
  •  Weekend & evening work required particularly during the festival
